Main Tasks & Responsibilities

  • To plan, coordinate and allocate monthly planned maintenance visits for up to 800 sites throughout the uk. Ensure the finer details of a booking are made accurately and thoroughly including centre management permits
  • Chase engineers for outstanding documentation.
  • Liaise and work closely with operations managers to ensure booking of approved remedial works following quotations.
  • To oversee and ensure the smooth running of administrative tasks
  • Coordinate office activities and operations to secure efficiency within the business
  • Taking phone calls deal with other correspondence (e-mails, letters, packages etc)
  • Filing and the recording of various documents
  • Upload of documents to various portals
  • Support with general administrative duties
  • Attend team meetings and team development/training meetings
  • Provide general support whenever necessary within the company
  • Taking phone calls and dealing with them appropriately and efficiently
  • Maintain confidentiality at all time and respect the confidentiality of information in line with the requirements of the Data Protection Act at all times.
  • Travel as required within the area and other areas within the company for business and training.

Knowledge & Experience

  • At least 2 years’ experience in an office environment
  • Experience within a Construction in particular an FM business desirable
  • The ideal candidate will ideally have a good computer and systems knowledge, good phone manner, be able to prioritise workloads, demonstrate attention to detail and have a proactive and positive approach to his/her work, as well as having the ability to communicate effectively and build good working relationships
  • Very well organized, good time management skills with the commitment to deliver on deadlines and having exceptionally high attention to detail. Confident self-starter with a positive attitude and sound analytical skills, able to operate under high pressure with busy workloads.

  • Good all round PC skills, in particular operating management systems and Microsoft Office, good knowledge of excel preferred.

  • Out of Hours Emergency Work – To be available for out of hours emergency works based on the agreed duty engineer rota with a minimum requirement to be on call once per calendar month
  • Capital Projects – Play a key role as part of our capital projects team delivering refurbishment and upgrade works across all types of commercial premises

Knowledge & Experience

  • Minimum 5 years working experience in construction roles & trades
  • Competent in plumbing, carpentry, tiling, decorating, making good, some element of groundworks and brickwork
  • CSCS card desirable but not essential
  • High degree of quality awareness – Structured approach to problem solving
  • Experience in reactive and small project maintenance desirable
  • Team player, cooperative, interested in further development
  • Able to work at heights.
  • Ability to report clear and concise information
  • Have an in-depth understand of the applicable trade along with a proven track record and ability to overcome all natures of repair within that skillset
  • Literate in operating iPhone/iPad and android devices
  • High degree of flexibility
  • Highly motivated with the ability to work under pressure
  • Willing to work some weekends and overtime as required
  • Full driving licence
  • Ideally be IPAF and MEWP trained and qualified however not essential as training provided
