Main Tasks & Responsibilities
- To plan, coordinate and allocate monthly planned maintenance visits for up to 800 sites throughout the uk. Ensure the finer details of a booking are made accurately and thoroughly including centre management permits
- Chase engineers for outstanding documentation.
- Liaise and work closely with operations managers to ensure booking of approved remedial works following quotations.
- To oversee and ensure the smooth running of administrative tasks
- Coordinate office activities and operations to secure efficiency within the business
- Taking phone calls deal with other correspondence (e-mails, letters, packages etc)
- Filing and the recording of various documents
- Upload of documents to various portals
- Support with general administrative duties
- Attend team meetings and team development/training meetings
- Provide general support whenever necessary within the company
- Taking phone calls and dealing with them appropriately and efficiently
- Maintain confidentiality at all time and respect the confidentiality of information in line with the requirements of the Data Protection Act at all times.
- Travel as required within the area and other areas within the company for business and training.

Knowledge & Experience
- At least 2 years’ experience in an office environment
- Experience within a Construction in particular an FM business desirable
- The ideal candidate will ideally have a good computer and systems knowledge, good phone manner, be able to prioritise workloads, demonstrate attention to detail and have a proactive and positive approach to his/her work, as well as having the ability to communicate effectively and build good working relationships
- Very well organized, good time management skills with the commitment to deliver on deadlines and having exceptionally high attention to detail. Confident self-starter with a positive attitude and sound analytical skills, able to operate under high pressure with busy workloads.

- Good all round PC skills, in particular operating management systems and Microsoft Office, good knowledge of excel preferred.

- Travel as required away from home or the normal place of work for business purposes or training
- Carry out other duties not specified in the Job Description as required by the Company within the remit of the role
Health & Safety
